Medicine expiry tracking: FEFO and batch control

A practical system for recording expiry dates, identifying near-expiry stock and applying first-expiry-first-out decisions.

Practical checklist

01

Record expiry data at receipt

For products where batch-level tracking is appropriate, capture the lot or batch identifier, expiry month or date, quantity and receiving information when stock arrives.

02

Use FEFO rather than FIFO where relevant

First-expiry-first-out means selecting eligible stock with the nearest valid expiry first, subject to clinical and legal requirements. A newer delivery may expire earlier than an older one.

03

Build an exception review

Review near-expiry items at a defined interval and choose action according to product risk, storage requirements, supplier return agreements and local rules. Do not sell or dispense expired stock.

04

Verify inventory against shelves

Reconcile digital expiry and batch entries with actual packs. Document quarantine, returns and write-offs, with role-based approval where appropriate.

Questions to ask before choosing software

What is FEFO?

First-expiry-first-out: use eligible stock with the closest expiry before later-expiring stock where it is appropriate.

Does an alert guarantee safe stock?

No. Staff must confirm the actual package, storage conditions and applicable rules. Alerts supplement, not replace, physical checks.
